Receptionist

JOB DESCRIPTION:
Waste Carriers is looking for a professional Receptionist to oversee all receptionist and secretarial duties at our main entrance desk. This position reports to the Administration Team Leader and will be based at our offices in Airport Industria, Cape Town.

JOB PURPOSE:
As Receptionist, you will be the ambassador of our company’s first impression on the guests and visitors. It will be your foremost responsibility to greet all incoming guests and visitors help them with directions or any appropriate information that they need while maintaining a high level of confidentiality.

JOB OBJECTIVES:
· Greet guests and provide them with excellent customer service
· Ensure the front desk is neat, presentable, and equipped with all the necessary stationery supplies
· Answer all client questions and incoming calls
· Redirect phone calls to the appropriate department as well as take and distribute messages
· Accept all letters and packages, and distribute them to their appropriate departments
· Track and order all office equipment and supplies
· Maintain records and files as and when required
· Other duties as required by the line manager and at times to assist other department heads as required

Personal Assistant to the Managing Director

JOB PURPOSE:
Waste Carriers has an exciting opportunity for a suitably qualified and competent person to provide a personal assistant support service to the office of the Managing Director. This position reports to the Managing Director and will be based in Airport Industria, Cape Town.

 

JOB OBJECTIVES:
Brief the MD on urgent matters daily, respond to stakeholders on behalf of the MD, receives telephone calls, and receive messages, in addition to the calls for the Managing Director as well as the relevant General Managers, discretion is required to decide to whom the call should be forwarded. In the process the job incumbent should finalize some enquiries, Performs advance typing work, Operates and ensures that office equipment is in good working condition, Coordinates and sensitizes/advises the Managing Director regarding engagements, Records the engagements of the Managing Director, Utilizes discretion to decide whether to accept / decline or refer to other employees’ requests for meetings, based on assessing of the importance and urgency of the matter, Compiles realistic schedules of appointments and proactively manages the calendar of the Managing Director.

Renders administrative support services
Ensures the effective flow of information and documents to and from the office of the Managing Director, Ensures the safekeeping of all documentation in the office of the Managing Director in line with procedures and policies, Obtains, inputs, collates and compiles reports, e.g (Progress report, Monthly reports, Management reports), Scrutinizes routine submissions/reports and make notes and/or recommendations for the Managing Director, Responds to enquiries received from internal and external stakeholders, Drafts documents as required, create a file plan and do the filing of the documents for the Managing Director and the unit where required in paper-based and electronic format, Collects analyses and collates information requested by the Managing Director, Ensures that travel arrangements are well-coordinated, Prioritizes issues in the office of the Managing Director, Manages the leave register and telephone accounts, Handles the procurement of standard items like stationery, refreshments etc. for the activities of the Managing Director and the office, ensuring that all IT requirements are dealt with, link between management, staff and the MD.
· Provides support to Managing Director regarding meetings
Scrutinizes documents to determine actions/information/other documents required for meetings, Collects and compiles all necessary documents for the Managing Director to inform him on the contents, Records minutes/decisions and communicates to relevant role-players, follow-up on progress made, prepares brief notes for the Managing Director as required, coordinates logistical arrangements for meetings when required.
· Supports the Managing Director with the administration of the Managing Director’s budget.
Collate and coordinates all the documents that relate to the Managing Director’s budget, Assists Managing Director in determining funding requirements for purposes of work, Keeps record of expenditure commitments, monitors expenditure and alerts Managing Director of possible overspending, Checks and correlates financial system reports to ensure that expenditure is allocated correctly, Identifies the need to move funds between items, consults with the Managing Director and compiles draft memos for this purpose, submit claims to finance of the Managing Director.
· Implement company prescripts/policies and other documents and ensure that the application thereof is understood.
Remains up to date regarding the prescripts/policies and procedures applicable to the work terrain to ensure efficient and effective support to the Managing Director, Guide, implement and remain abreast regarding the procedures and processes that apply in the office of the Managing Director.

SHEQ Officer
WASTE CARRIERS – Cape Town, Western Cape

JOB PURPOSE:
Waste Carriers has an exciting opportunity for a suitably qualified and competent person to provide a complete integrated SHEQ management system for the company. This role is aimed at improving the function of the Health and Safety Department, providing SHEQ support to management and staff, and assisting with the implementation of SHEQ policies and procedures within the company. This position reports to the General Manager and is based in Airport Industria, Cape Town.

Instituting and maintaining a SHEQ management system, in line with ISO compliant integrated management systems (ISO 14001, ISO 45001, and ISO 9001)
• Ensuring that all Waste Carriers group of companies and sites are compliant with the relevant government bodies from national, to provincial and local authorities
• Inspire and track the implementation of Waste Carriers SHEQ policy and plan
• Maintain and manage all relevant updated documentation.
• Address high risks areas with management programs, SOP’s and work instructions
• Monitoring and tracking of compliance with Waste Carriers SHEQ system, both internally as well as externally concerning our suppliers and contractors
• Identifying non-conformances and actioning appropriate measures to address it
• Ensure that all incidents, accidents, near misses, and unsafe acts are reported, investigated and preventative actions are implemented
• To conduct internal audits, as well as arrange and schedule external audits by accredited auditors
• Monitoring and reporting on Waste Carriers SHEQ performance, both internally and externally, with the aim of continual improvement
• Always communicate with the applicable authorities

 

RESPONSIBLE FOR ALL SHEQ COMMUNICATION & AWARENESS:
• Communicating with the General Managers and all department heads, concerning SHEQ management
• Provide communication and support to Supervisors and Managers regarding Waste Carriers SHEQ policies, continuous improvement plans, and procedures by way of continuous trading programmes.
• Responsible for environmental (as well as other) SHEQ awareness modules in employee induction sessions

 

DAILY AND MONTHLY TASK CHECKS:
• Develop and write SOP’s and work instructions when required
• Undertake HIRA’s when applicable and record to prevent and mitigate risks as identified
• Facilitate SHEQ committee meetings
• Ensure that the highest responsible person per area chairs the committee meetings and act as a co-opted member in all SHEQ meetings
• Ensure effective document and data control
• Ensure that all information and documentation are current and relevant in safety files for commercial sites
• Conduct client site inspections when required and adapt the safety file if applicable
• Ensure that all IOD’s and first aid cases are reported and recorded, to assist the HR department
• Investigate all incidents and accidents
• Ensure preventative and mitigation measures are implemented after all investigations/incidents
• Conduct internal audits for sites, liaise with management on the findings, and ensure that the findings are closed out
• Ensure that all MRF SHE Representatives conduct their daily internal audits on fire equipment, housekeeping, and personal protective equipment
• Ensure that monthly checklists are completed by the MRF SHE Representatives
• Ensure that all legal appointments are signed by the Director and are up to date.
• Plan and assist with emergency evacuation drills and record outcome
• Make sure that vendors and contractors comply with company SHEQ standards
• Training: provide the Training Manager with all relevant information regarding employee training for SHEQ related functions (keep valid and current)
• Assist the transport department with SHEQ and ensure that you attend the transport meetings
• Assist the operations department with SHEQ and ensure that you attend the operations meetings
• Ensure that the legal register is up to date
• Attend policy meetings and provide input
• Compile consolidated month-end report with TRCR’s
• Follow up on occupational hygiene surveys

 

REQUIREMENTS:
• Matric and a relevant Diploma / Degree
• Minimum of 5 years management experience is required
• Relevant qualifications, experience, knowledge, and skills in logistics, SHEQ, HR, production etc.
• Knowledge and experience in related waste management and recycling is a preference
• High proficiency in Microsoft Office is essential
• Valid code 8 driver’s license

This role is aimed at improving the function of the Finance Department. To provide financial support to management and staff and assist with the implementation of finance policies and procedures within the company. It is a specific requirement of the position that the incumbent understands the importance of meeting deadlines. The successful candidate will be responsible for the overall financial management function and reporting of the company. This will include the management of employees. This position reports to the General Manager and is based in Airport Industria, Cape Town.

REQUIREMENTS:
• BCom Accounting Degree or Equivalent
• 5 – 7 years experience in an Accounting/Finance role
• Proven supervisory/team leadership skills are essential (experience in managing a finance team)
• Solid knowledge of financial processes and systems
